The Challange

KEKS were using Xero, Procore Financials and Excel spreadsheets to track project costs for 3 years. Their internal systems were inefficient, as they were triple handling accounts payable and receivable invoices, and double handling the approval process.

Karim thought there had to be a better way.

The Solution

Karim discovered there were a couple of software solutions available and chose OneCore by Interfy which could integrate Procore Financials with Xero accounting and he has never looked back.

The Story

Karim had a full time 40 hour per week employee to manage the project accounts administration. She would enter bills into Procore and would then log these bills in a spreadsheet with an approval status. Project managers would approve the bills in Procore and would then have to update the spreadsheet with the approved status. She would then enter the bill data into Xero, once she could see they were approved on the spreadsheet. She would process payments in Xero.  When a supplier or subcontractor would contact the project team about payment of their bill, the project team member would need to contact accounts and get back to the supplier or subcontractor. The toing and froing was constant and inefficient.

The Results

  • Accounts and project teams are now connected on one platform.
  • The project team are working with live data. As soon as a commitment claim is approved the accounts team receive it in Xero.
  • Payment information now appears in Procore. Once accounts have processed the payment in Xero, the projects team can see the payment information in the payments issued record in Procore. No more toing and froing between the projects team and the accounts team for invoice and payment status. It’s all there in black and white, within 15 to 30 seconds after processing. No more delays in payment information
  • No more double approvals.
  • No more triple entry of bills.

The integration has been a game changer for Karim and his team at KEKS Projects. Karim’s accounts administration requirements have dropped by 50% down to 20 hours per week, saving him $50k in wages alone.
